Custom AI Platform Drives Enhanced Business Management and Development for a Global Energy Infrastructure Operator

Competitive intelligence reporting reduced from 8 hours of manual work to under 90 minutes automated, including human review and strategic input.

A single AI platform now handles partner relationship management, bid proposal generation, and market intelligence across multiple countries, replacing disconnected spreadsheets and manual processes.

Background

The client is part of an energy company with a market capitalisation exceeding £60 billion and operations spanning the US, UK, and Europe. The division develops, operates, and invests in energy infrastructure. It competes for projects in open markets where winning or losing bids has direct revenue impact.

The division operates in a market experiencing a change in scale. The team is responsible for the business development of projects, from $1 billion to over $100 billion in value, spanning multiple years, managing dozens of partner relationships, preparing multi-million bids against tight regulatory deadlines, and monitoring regulatory filings and competitor activity across multiple US territories. All of this management was done manually.

The division head saw an opportunity to create a purpose-built AI platform that could handle the repetitive, high-volume analytical work, while freeing the team up to focus on strategy, relationships, and deal-making.

Solution

WeBuild-AI identified over 50 use cases, however most were deliberately de-prioritised. After scoring against business value and technical feasibility, only three were progressed.

Applying a spec-driven development process meant engineers could build without ambiguity and testers verified against measurable standards. The three use cases had to quantify acceptance criteria, define AI accuracy targets with evaluation methods, apply data classification, guardrails, and human-in-the-loop checkpoints - all up front.

Use Case 1: AI-Powered Customer Relationship Management (CRM)

The platform replaced spreadsheet-based partner tracking with a full CRM. Performance dashboards track engagement across every territory and partner profiles hold essential business information and pipeline in one place.

The AI layer allowed users to type natural language questions and the system queries into the CRM directly: "Summarise my meetings with this partner" produces a synthesised briefing drawing themes across multiple logged conversations. Follow-up questions like "What should we do to win this opportunity?" combine CRM data with live web research to produce strategic recommendations. Downloadable briefing documents are generated in seconds.

Used by: Business Development Leads, Partnership Managers, Senior Commercial Leadership.

Use Case 2: Automated Bid Proposal Generation

The system generates complete regulatory bid proposals from uploaded documents. A user provides the RFP, a company profile, and the proposal template and the workflow produces a fully structured response formatted to the exact structure the regulator requires. The system supports multiple regulatory jurisdictions with different formats.

Used by: Bid Managers, Commercial Leads, Engineering Reviewers, and the wider Bid Team.

Use Case 3: Market Intelligence and Competitor Analysis

The intelligence hub monitors regulatory filings, meeting outputs, and news across multiple territories, categorises signals and produces sourced briefings that replace roughly eight hours of manual work per reporting cycle. Competitors are actively monitored, assessed and flagged.

Used by: Strategy and Competitive Intelligence Analysts, Business Development Leads, Senior Leadership.

Platform Architecture and Compliance

All three use cases run on Azure within the client's own security perimeter, aligned with their Responsible AI policies, and deployed through CI/CD with observability, monitoring, and per-use-case cost attribution. The platform includes a chat interface with conversation history, a prompt library, a workflow engine for structured agentic tasks, and a model management layer.

“This is amazing how quickly it creates a first draft for us and the gaps compared to the key criteria for us to strengthen”

- Bid Director, Global Energy Infrastructure Company

Impact

  • Competitive intelligence reporting reduced from approximately 8 hours to under 90 minutes, an 85% reduction.

  • Bid proposal assembly reduced from days to hours.

  • 126-page regulatory bid proposals generated from three uploaded documents, formatted to jurisdiction-specific requirements.

  • A resilient AI platform providing continual service to global users, through multi-availability zone deployment with document failover. Per-use-case cost attribution also gives leadership visibility into where AI value is generated.

Why WeBuild-AI

Three things made WeBuild-AI the right partner for this engagement.

  1. Validated before building. WeBuild-AI started with a structured discovery process. This discipline allowed the team to ship three production-grade systems in months rather than years.

  2. Spec-driven development for speed and quality. Every use case was specified to a measurable standard before code was written, with quantified acceptance criteria, AI accuracy targets, and guardrails. This approach meant delivery speed went up without quality going down.

  3. Built for regulated environments from day one. WeBuild-AI designed information governance, data classification, and access controls at the specification stage, not as an afterthought. These architectural decisions gave the client confidence to approve production deployment in a regulated environment.
